What BeadInvoice actually does

The flow the site describes has four steps. You enter the metal (finished weight, or converted from wax weight) and pick the alloy: 14k yellow, 18k rose, palladium white, platinum, sterling. You add stones individually, each with its own cost, source, treatment disclosure and setting labor. You bill bench operations by type (fabrication, CAD, casting, setting, finishing, engraving) at rates you set. Then you send it, the client accepts, and the deposit percentage you chose gets paid.

Around that sit the supporting pieces: a metal price feed the site says reprices every hour for gold, platinum, silver and palladium; a stone ledger carrying origin, treatment, lab grown or mined status and certificate number, all of which print on the client document; per operation timers; deposit collection through Stripe or Square; stage approvals for wax, stones and finish with photographs and timestamps; tracking for client supplied stones from intake through setting; and quoted versus actual margin reporting per piece.

On the plumbing side there is QuickBooks Online and Xero sync, CSV export, and API plus Zapier access on the retail tier. The pitch is unglamorous and mostly correct as a description of the job: turn a conversation about a ring into a number you can defend, before you cut wax.

The plans, as published

Three monthly plans are listed publicly. Solo Bench is $29 per month for one user with unlimited commissions. Studio is $69 per month for up to six users with separate rates per bench. Studio and Retail is $149 per month for unlimited users, multiple locations and retail features, and it is the tier that carries API and Zapier connections.

Billing is monthly, with no setup fee and no percentage taken out of your commission value, which matters when a single platinum piece can dwarf a year of software fees. Cancellation is monthly. On timelines, the site says most independent designers are quoting live the same afternoon, while studios with several benches usually need a second session to configure rates per bench, which is a refreshingly modest claim for a pricing page.

What it does not do

It is quoting and job tracking software, not a valuation service. It does not appraise, certify or authenticate anything. The stone fields (origin, treatment, lab grown or mined, certificate number) record what you type and print it on the client document. Whether that printout satisfies the disclosure rules where you trade is still your responsibility, not the software's.

The integrations are requirements, not decorations: deposits need Stripe or Square, and accounting sync needs QuickBooks Online or Xero. Permissions are scoped per user, so a bench jeweler may not see margins unless you grant that access. If you cancel, the site says the account stays readable for sixty days and exports in open formats, so open jobs can be finished and records pulled out.

The site also publishes its own outcome figures on margin, remakes and deposit collection. Those are vendor numbers, collected by the vendor, presented by the vendor. They are not repeated here, and they are worth precisely the trust you extend to any vendor reporting on itself. The verifiable parts are the plans, the integrations and the export policy.
