Four steps, from open registration to the last curtain call

TutuTerm splits the season into four moves. First, the director builds the term and the schedule: the level ladder, the age bands, the day and time grid and a capacity number for each class, so a Tuesday ballet class quietly accepting one dancer over its cap becomes a thing that cannot happen.

Second, placement. Families sign up the dancer, not the class, and the studio decides where that dancer goes using age, what level they finished last spring and whatever the teacher wrote down about them. Third, each enrolled dancer receives a measurement form. Fourth, the recital fee gets a schedule of dated payments rather than a single invoice sent in a hopeful tone.

Around those four steps sit the pieces that only matter in April: recital week rosters, running order and dressing room assignments, plus sibling and multi class discount math that the software calculates instead of the front desk recalculating it by hand every time a family adds a class.

Placement instead of self service sign up

The design decision underneath TutuTerm is that families never choose the class. They register a dancer. The director then places that dancer, which is the correct order of operations for anyone who has spent August politely explaining to a parent that their child cannot in fact skip two levels because the class time was more convenient.

Teacher notes travel with the dancer, so placement is not reconstructed from memory in a hallway. Capacity caps are set per class, so a level does not quietly overflow. If you run two locations, dancers can be moved between them and the enrollment rolls up into one combined view instead of two spreadsheets that disagree.

Costume measurements without the group text

Costume sizing is where studio terms usually go sideways: measurements arrive by text message, some parents measure in inches while somebody measures over a winter sweater, and the vendor deadline shows up with a handful of dancers unaccounted for. TutuTerm sends each family a link that opens straight to their own dancer. Parents do not create a password, which removes one very reliable reason a form never gets filled in.

The measurement form shows one number per screen with photos showing where the tape goes. Completed measurements export in costume vendor formats or as plain CSV, so the order goes out in the shape the vendor expects rather than as a rebuilt spreadsheet at midnight.

On privacy, the site is specific: only staff you invite can see dancer information, and at the permission level you grant, so teachers see their own classes and notes while the front desk sees balances. TutuTerm states that data is encrypted in transit and at rest in United States data centers, that the studio keeps ownership and can export to CSV at any time, and that it never sells family data or uses it to market to families.

Pricing, integrations and what happens if you leave

Pricing is published on the site in plain dollars, monthly. One Studio is $45 per month for a single location with up to 250 enrolled dancers, including unlimited classes, placement, measurement forms, staged fees and email support. Studio Plus is $95 per month for a single address with no dancer cap, adding competition team rosters, running order and dressing rooms, sibling and multi class math, payment reminders and roster import setup. Two Locations is $189 per month for two addresses under one management, with the combined roll up, dancer moves between locations, per location staff permissions and season reporting.

There is no per dancer charge, no setup fee, no annual contract and no percentage taken out of tuition. Card payments run through your own merchant account via Stripe or Square, so TutuTerm is not sitting in the middle of the money. Bookkeeping goes out to QuickBooks Online or Xero, the schedule can be embedded on the studio website you already have, and email sends through Google Workspace or Microsoft 365.

Leaving is documented too, which is rarer than it should be. You cancel from the billing screen, the plan ends at the close of the month with no exit fee, and the account stays readable for 60 days so you can pull your data out. The site says the class grid and level ladder are kept in case you come back, and that payments already collected from families are unaffected. TutuTerm also publishes season statistics reported by its own studios, including counts of studios and dancers: treat those as the vendor's own numbers, because that is what they are, and ask for the underlying detail on the walkthrough call the site offers.
