Coaches load a skill list (the built in compulsory and Xcel sets, or their own progressions), then mark where each athlete stands on every skill using four states: introduced, spotted, connected, competition ready. From that same record the gym generates meet entries with eligibility checks, posts season fees with reminders, and gives parents a read only view of their own athlete. The site describes marking a skill as two taps, which is about the level of ambition anyone has while holding a spotting block.
A word about where you found it. premierdelaclasse.lol is a satirical leaderboard where rank is bought, not earned: no jury, no test, no scoring. VaultChalk holds the spot its bid pays for, and that is the whole mechanism. The target is narrow on purpose: women's artistic gymnastics programs running compulsory and optional levels, Xcel programs that move athletes mid season, all star cheer gyms, multi location organizations, and programs attending six or more sanctioned meets a year. If your competitive season is one local invitational and a lot of hope, this is more machinery than you need.
The genuinely useful part is the not a fit list, which the site publishes rather than buries. VaultChalk says no to recreational only gyms, to programs that want full class registration or a point of sale system, to clubs with fewer than eight competing athletes, and to anyone shopping for payroll, scheduling or time clocks. There is no video analysis and no routine scoring. A tool that tells you when to walk away is doing you a favor, and it saves you the demo.
The site also names its own dependency: head coach buy in. Without it, adoption fades and you have bought a second binder that needs a charger. That caveat is theirs, and it is the correct one.

The billing unit is the interesting decision. VaultChalk charges per location, not per athlete, so a gym that adds a whole competitive squad in September pays the same in October. Do the arithmetic against your own roster before you decide it is cheap: the published plans stop at six locations, so a seventh building is not on the price list.
On data, the site says records sit on encrypted infrastructure in United States regions with daily backups, and that if you cancel mid season your data stays exportable as CSV for ninety days before it is deleted permanently. Setup is quoted at roughly twenty minutes to import a roster and an afternoon to get a first squad on screen. Treat all of that as the vendor's own numbers, because that is what they are.
Waivers, medical forms and the line the tool does not cross
VaultChalk tracks waivers, insurance membership numbers and birth verification, each with an expiry date, so a lapsed form surfaces before the meet rather than at the check in table. Useful, boring, exactly the kind of thing humans forget in February.
Be precise about what that is: filing and date arithmetic. The tool stores documents and flags when they expire. It makes no medical claim of any kind, it does not clear an athlete to compete, it does not assess an injury or a return to training, and it is not a substitute for a physician, a physical therapist or your gym's own policy. A form marked current means a piece of paper is in date. It says nothing about whether a child should be on the beam today, and VaultChalk does not pretend otherwise.
One thing to raise with the vendor directly: the public site describes storage and backups, but does not publish a policy on medical record handling beyond that. If your program is subject to specific rules about that paperwork, ask before you upload anything rather than after.
